What tender management software does for a medical equipment supplier

Tender management software for medical equipment collects the government and institutional tenders relevant to your product lines, tracks each one from discovery to outcome, holds the documents you need to bid, and reminds you of the money and dates that can disqualify you. In Aura Business the Tenders and Government Sales suite does this with a tracker that fetches tenders every morning, a document vault, EMD and deadline reminders, outcome analytics and rate-contract management.

Government buying in India runs through state medical services corporations, medical colleges, district hospitals and online marketplace portals, each with its own formats and timelines. The bid itself is still submitted on the authority's portal; what the software does is make sure you saw the tender, met the deadline, paid the EMD, and know afterwards whether bidding there was worth it.

Why tenders are lost before bidding

Most tenders are lost to the calendar, not to price.

A supplier with the right product and the right price still misses out when the notice is seen late, the EMD is not arranged, or the document set is one certificate short.

Tenders found by luck

Someone checks a portal when they remember, and the notice with a fourteen-day window is found on day ten.

Documents scattered

The authorisation letter is in one email, the GST certificate in another, and the latest balance sheet on the accountant's desk.

EMD forgotten or stuck

Earnest money is paid late, or refunds from lost bids are never followed up and sit with the authority.

Deadlines in the head

Pre-bid meeting, query deadline, submission time and opening date all matter, and one of them is always missed.

No record of outcomes

You bid everywhere and cannot say which authorities you win with or what price took the last one.

Rate contracts unused

A rate contract is won and then forgotten, so orders that could flow under it are re-quoted from scratch.

In practice

How a tender desk runs on it.

The morning tender list

Workflow: The tender executive opens the tracker at 9 am and sees the notices fetched overnight for patient monitors and lab analysers in three states.

Result: No portal checking, no notice found on day ten.

A bid packed in an hour

Workflow: Authorisation letters, GST and PAN, turnover certificates and past supply orders are pulled from the vault; the price schedule is built from the catalogue.

Result: The bid is complete and consistent with previous submissions.

An EMD refund is chased

Workflow: A lost bid's EMD shows as unrefunded sixty days later and appears on the receivables view.

Result: Money that used to be forgotten comes back.

The no-bid list gets shorter

Workflow: Win-rate analytics show one authority has never awarded to you in eight attempts, while a medical college has awarded three of four.

Result: Effort moves to where it wins.

Questions

Tender management, answered.

Where do the tenders in the tracker come from?

The tracker fetches government tender notices every morning for the categories and states you configure, so your desk starts the day with a list rather than a search. Which sources are covered for your product lines is confirmed during scoping.

Does it submit the bid on the government portal for me?

No. Bids are submitted by you on the authority's own portal, including online marketplace portals. Aura Business tracks the tender, prepares the documents and price schedule, reminds you of deadlines, and records the submission reference and outcome.

How are EMD payments tracked?

Each tender records the EMD amount, the mode, the date paid and the refund status. Unrefunded EMDs from lost or cancelled bids stay visible until the money returns, so they are chased like any other receivable.

What does win-rate analytics show?

Outcomes by authority, product line, state and period, with the winning price where the authority publishes it. Over a few quarters this shows which buyers you win with and where bidding is not worth the effort.

What happens after we win a rate contract?

The rate contract is stored with its prices, quantities and end date. Quotations and orders to that buyer use those prices, and the end date is watched so you can renew or re-bid. See service contract management software.

Can the tender price schedule reuse our quotation lines?

Yes. The quotation builder produces a tender format from the same catalogue lines, so prices, HSN codes and GST are consistent between your commercial quotes and your bids. See quotation software.
