For medical-equipment dealers

A medical equipment service app built for the engineer standing in a hospital corridor.

The dealer's service engineer needs one app: today's calls, the device's history by serial number, a job card with the right checklist, spares used, and the biomedical department's signature. We build it on the Aura Business field module or to your own service desk.

What a medical equipment service app does

A medical equipment service app is the engineer's side of a dealer's service operation. It lists the breakdown and preventive maintenance calls assigned to the engineer, shows the installed device by serial number with its warranty, AMC or CMC status and full history, and gives the engineer a job card with the checklist for that model, calibration readings, spares used, photos and the hospital's signature.

Elevate Aura builds this app as the mobile half of the Aura Business Field Service and AMC suites, where call intake, dispatch, the installed-base register, contracts, spares stock and service invoices already exist, or as a custom app connected to the service desk you run today. Aura Business is running two distribution businesses in Chennai today.

This page is specific to medical-equipment dealers. For the general version see field service mobile app development.

The dealer's service desk

Why medical equipment service is harder than other field work.

A ventilator is not a compressor. The hospital keeps records, expects evidence, and the contract decides who pays.

Which contract covers this call?

The engineer does not know whether the device is under warranty, AMC or CMC, so the visit is either billed wrongly or not at all.

The biomedical file

The hospital's biomedical department wants a PM report per device with checklist and signature. A WhatsApp photo does not pass an NABH-style audit.

Calibration by memory

Readings are written on a notepad and typed later, if at all, so calibration certificates lapse unnoticed.

Spares from the bag

A sensor fitted from the engineer's kit never reaches the stock ledger or the invoice.

History nobody can find

The same monitor fails a third time and nobody can see the first two visits.

No signal in the ICU basement

Imaging rooms and plant areas kill connectivity; a cloud-only form is useless there.

A service call in the app

From the hospital's complaint to a closed, covered visit.

01

Call intake

The hospital raises the breakdown; the desk logs it against the serial number.

→
02

Dispatch

Assigned to the engineer with the right skill; appears on the app with route order.

→
03

On site

GPS check-in, device history and contract status read before touching the machine.

→
04

Job card

Model checklist, fault, work done, calibration readings, spares scanned, photos.

→
05

Sign-off

Biomedical engineer signs on screen; PM or service report PDF generated.

→
06

Close

Visit closes against warranty, AMC or CMC, or becomes a GST service invoice.

In practice

Three calls a dealer's engineer handles every week.

A patient monitor under CMC

Workflow: The engineer sees the monitor is on a comprehensive contract, replaces the SpO2 module from stock, records the serial and gets the sign-off.

Result: The visit closes under the CMC, the module leaves stock, and no invoice is raised by mistake.

A quarterly PM on a lab analyser

Workflow: The PM checklist for that model appears on the job card with calibration fields; the engineer completes it offline in the lab and syncs later.

Result: The hospital receives a PM report PDF with readings and signature for its biomedical file.

An out-of-warranty ultrasound

Workflow: The device has no active contract; the job card records a probe replacement and labour.

Result: A GST service invoice is generated from the job card and the receivable is tracked.

Questions

Medical equipment service app, answered.

Is this the same as the Aura Business mobile app?

The Aura Business mobile app already includes the Field Service module: job cards, spares, signatures, photo proof and offline mode. This page describes that app configured for a medical-equipment dealer, or a custom version connected to a different service desk. See the technician tracking app.

Does the engineer see the contract status on site?

Yes. Each call carries the device's warranty, AMC or CMC status from the installed-base register, so the engineer knows before starting whether the visit and spares are covered.

Can it produce the PM report the hospital asks for?

Yes. When the job card is signed, a PM or service report PDF is generated with the checklist, calibration readings, photos and signature, and can be shared with the hospital on WhatsApp or email.

Does it work in imaging rooms and basements without signal?

Yes. The job card, readings, spares and signature are captured offline and synced when the phone regains a connection.

How are spares handled?

Spares used on the job card are deducted from van or warehouse stock at serial or batch level, and appear on the service invoice if the visit is not covered by a contract. See spare parts inventory.

How quickly can our engineers be on it?

Live in 30 working days where scope allows. Your installed base, contracts and engineer list are imported from Excel and your branding goes on the app and the PM reports.
