HIMS handles registration, EMR, pharmacy, laboratory, wards, theatre and billing for Vellore hospitals, with particular weight on registering out-of-town patients correctly and getting reports back to them once they have gone home.
Vellore is a medical destination. A large share of the people at the counter have travelled in for treatment, sometimes from other districts and other states, often with an attendant, usually for a fixed number of days. That shifts the weight of the software from the ward to the front desk: who this person is, what identifier they carry, which mobile number they can actually be reached on afterwards, and how the report gets to them once they are three hundred kilometres away.
Elevate Aura builds HIMS in Chennai, and Vellore is a short run up the highway, so the workflow study and the go-live training happen at your hospital rather than over a call. There is no office, staff or phone number in Vellore; support after go-live is remote and on WhatsApp.
A hospital treating its own neighbourhood can recover from a sloppy registration desk. A hospital whose patients arrive by train cannot.
The failure is always the same. The patient arrives, gives a name in a hurry, is registered, goes for an investigation, and is registered again at a second counter because the first record could not be found from the spelling. Now the hospital holds two people where there is one. The scan sits on one record, the prescription on the other, and the bill on whichever counter was last used. When the patient returns in six months, a third record is created, and the earlier treatment might as well not have happened.
One UHID per patient is the fix, and it has to be enforced at the desk rather than cleaned up later. Search on a phone number as well as a name, show the existing record before a new one can be created, and attach the attendant's contact details to the registration, because with an out-of-town patient the attendant's number is often the one that still works next month.
The second Vellore problem is the report that is not ready when the patient leaves. A laboratory result verified the next morning, or an imaging study read after the family has caught the bus, has to travel. The patient app carries reports and follow-ups, and imaging studies and signed reports can be sent through AuraPACS as a secure WhatsApp link that neither the patient nor a referring doctor needs a login to open. What does not happen is a phone call to the front desk asking someone to read a result aloud.
Workflow: Registration finds or creates one UHID, records the attendant's number, and every counter that day writes to that single record.
Result: One person, one record, one bill.
Workflow: The laboratory result lands on the encounter, and the report reaches the patient through the app or a secure WhatsApp link.
Result: No second journey for a piece of paper.
Workflow: The desk searches by mobile number, opens the existing UHID, and the previous admission, investigations and discharge summary come with it.
Result: The review starts from what was actually done.
Workflow: The insurer and the approved amount are attached to the admission, charges build as treatment happens, and the claim is raised from that bill.
Result: The claim file is assembled from one place.
The workflow study and the go-live training are done in person. Elevate Aura is based in Chennai and Vellore is a short road trip, which makes a day on site practical. There is no local office or local staff, and support after go-live is remote and on WhatsApp.
Registration searches existing patients by name and mobile number and shows matches before a new record can be created, so one person keeps one UHID. See what is UHID for how duplicates usually start.
Yes. Reports and follow-ups are available in the patient app, and imaging studies with their signed reports can be sent as a secure link over WhatsApp that opens without a login.
Yes, HIMS is ABHA and ABDM ready and supports NABH-style structured documentation. That describes the software. Accreditation and registration remain your hospital's process, supported by the records the system keeps.
One. The clinic and the hospital share the same patient record and the same UHID, with modules switched on per site. See clinic management software for the lighter configuration.
Go-live is targeted at 30 working days from a fixed scope, where the scope allows it. That window covers the data load, your branding, the training visit and the first week afterwards.
